OFFICE MOVE PACKING INSTRUCTIONS
All desks, credenzas, lateral filing cabinets, storage shelving, bookcases and stationery
cabinets must be packed prior to moving. All keys for desks and cabinets should be handled
by the client; however, if you choose for Premiere to handle, please ensure all keys are
properly taped to its corresponding piece.
Bins
Specially designed bins are a convenient and durable alternative to the traditional boxes
and are recommended only if you plan to unpack immediately. DO NOT use tape to seal
these bins. If the bin has a label on it, place your new label over it. Please ensure labels are
placed on either end of the bin and not on the lid. DO NOT fill the bins so that the top
cannot sit flat as they are stacked for the move. Any liquids should be packed in a bag first.
Cartons
The standard cartons are 2 cubic feet in size. They are ideal for packing any contents which
you have no intention to unpack anytime soon. Ensure that cartons are packed to the brim
and sealed properly with packing tape. Any liquids should be packed separately in a bag
first.
Desks
All desks are usually tipped on end to be moved safely on a dolly. We suggest all content in
drawers be emptied and packed in a bin or carton. Small items such as pens and paperclips
should be placed in an envelope prior to boxing. Ensure that drawers are locked providing
you have a key for it.
Credenzas
Vertical file cabinets need not be emptied unless there are stairs in the move. All cabinet
drawers should be locked.
NOTE: The drawers that are left full should be locked or taped shut. All SUNAR brand filing
cabinets must be completely emptied. All drawers must be emptied if stairs are involved.

Pack all contents from bookcases and stationary cabinets. Please remove and pack all
shelving slips or pins into an envelope and tape onto the inside of bookcase to avoid loss.
Place all the loose shelves on the bottom of the bookcase.
Drafting/Light Tables
Pack any removable objects from table including lights, pencils, sharpeners, rulers, etc.
Tape and secure any tops or glass to the table frame. Label both the top and base of the
table.
Map Racks
It is not necessary to pack each individual map or print in the rack. They will be shrink-
wrapped by movers to ensure maps stay in place.
Computer Terminals
Computers and all computer equipment should be disconnected. Keyboard, mouse, cables
or any other smaller peripherals should be place in a computer bag and labeled. The
monitor and computer tower as well as printers must be labeled and will be transported by
the movers using computer carts or plastic bins. Laptops should be removed prior to the
move. Premiere Office Movers cannot accept liability for damage or loss to any laptops
moved.
Miscellaneous Electronics
Small office electronics such as calculators should be packed into cartons or bins. Large
personal electronics and fax machines should be left unpacked but labeled. They will be
moved via computer carts. Telephones should be packed into computer bags and labeled.
Any other miscellaneous electronics should be labeled.
Copiers
Personal Items
All personal contents should be removed prior to the move. Premiere Office Movers cannot
be responsible for loss or breakage of personal items. Replacement coverage insurance will
not cover these losses.

Premiere Office Movers will supply color-coded labels so all items to be moved can be
identified. For every area at destination, there should be an assigned number which
corresponds to the placement of items. The different colors are only to distinguish different
floors or different building destination.
For example, if the understanding is the 1st floor of destination is yellow label and the
2nd floor is red labels, and John Smith’s desk has a yellow label with “20” written on it;
John Smith’s desk will be delivered to the 1 st floor to the area which is assigned “20”
by your staff members.
If you are relocating to only a single floor or building destination, the different colors will not
have an impact on labeling.
All items to be moved must be labeled . Any items without a label will not be moved.
We recommend that all items be labeled and prepared at least 48 hours prior to the
move.
If you are using previously used cartons or bins, please put new labels over top of old
ones, or put a line through old labels with a black marker.
Labels should be marked with a permanent black marker to avoid rubbing or erasing
of information.
Labels should be placed on the ends of boxes and bins. DO NOT place labels on top
of the boxes or bins because they are stacked and will limit visibility.
All furniture that consists of more than one piece should be labeled individually. For
example, a desk with a return and an overhead should have 3 separate labels with
the same information on each piece to avoid any confusion at destination.
When applying labels to filing cabinets or bookshelves which are to be placed in rows
and in order, ensure the cabinets are marked in the order they are to be placed. For
example, the label should read “20A”, “20B”, “20C”, etc. Always use the room
number first and ensure that the office layout maps also has the A, B and C’s

STEPS TO TAKE WHEN PREPARING DESTINATION
1. At destination, tape a copy of the floor plan in the entry area(s) of your new office
showing the designated number.
2. Place direction signs at all split intersections to point the movers in the right
direction. This function will enhance the speed of the move by helping to avoid
movers studying the floor plan each time they bring in an item. Start from the
mover’s entry point (i.e. outside of elevator, entrance into office, etc.) and place at
each intersection.

3. Place a DIAGRAM and NUMBER on each OFFICE door showing furniture layout.
Place a NUMBER on each CUBICLE or AREA.
Every area needs a number (i.e. kitchen, file room, storage room, library, stationary
room, etc.). Please ensure that the number can easily be seen by the movers from
the hallways

LABELING OFFICE
Option 1:
Use the form on the next page to complete an office sketch showing all furniture placements
in your new office. Then tape onto the door or entrance area of the room. Take extra time
and effort to make sure the drawings for furniture are 100% accurate. Ensure that ALL
furniture will fit correctly in the room as shown on the diagram and that desk returns are in
the right position (right return – vs. – left return). Show the DOOR at the BOTTOM OF THE
DRAWING & PLACEMENT OF ALL FURNITURE WITH DESCRIPTON (i.e. Desk, Credenza, 4 High
Cabinet, 2 High Cabinet, Bookshelf, Guest Chairs, etc.)

Option 2:
From the main FLOOR PLAN, you may zoom and photocopy each office & area. If the floor
plan already shows the furniture, just place on door of new office (show door on bottom of
drawing). If your furniture needs to be inserted, draw in your furniture on the enlarged copy
of your individual office floor plan. Ensure all furniture that is planned on moving into the
office is labeled on this floor plan (i.e. Desk, Credenza, 4 High Cabinet, 2 High Cabinet,
Bookshelf, Guest Chairs, etc.).
NOTE: Each Cubicle (Modular Workstations) only needs a number taped to the panel.
