internship exercise.

CHAPTER ONE
INTRODUCTION
This chapter covers the background to the internship exercise, objectives of the internship
programme, background of the organization and the activities of the organization and its clients.

1.1 Background to the internship exercise.


The faculty of Science and Technology at Islamic Call University College values internship as an
attachment of students to different or various organizations and placing them to train, learn and
work under the supervision of highly experienced officers who in this act as trainers. Therefore,
the university assigns a student an academic supervisor who works hand in hand with the field
supervisor in order to guide and support the student.

The internee is therefore expected to actively participate in all activities assigned to him/her in
order to gain and acquire the necessary skills, knowledge and experience relevant to his/her field
of profession.

The activities and skills in this report were therefore achieved through observations, participation
and interactions with the staff members especially in the Department of E-Services and through
inquiring from people found within the Ministry boundaries.

1.2 Objectives of the internship programme.


 To prepare the intern in that by the end of the internship exercise, he/she should be able
to analyze the relationship between the theories learnt from the class and what practically
takes place in the field.
 To provide the students with an opportunity to enhance the skills, obtain the perspective
of a work environment and benefit from a mentor or supervisor’s experience and advice.
 To innovate new techniques of management and firsthand experience.
 To help the internees to expand their span of knowledge in outer environment.
 Reporting practice is also one of the major objectives of the internship programme.
 To implement the knowledge of practical training in the practical life.

1.3 Background of the organization.


The Ministry of Information and Communications Technology and National Guidance was
established in June 2006 with a mandate of providing strategic and technical leadership, overall

coordination, support and advocacy on all matters of policy, laws, regulations and strategy for
the ICT sector in Uganda to foster the achievements of national development goals.

a) Mandate: To provide strategic Leadership and Supervision in Information Management


and dissemination, communications technology and idea logical orientation for
sustainable development.
b) Vision: Acknowledgeable and Productive society driven by Information Communication
Technology and National Ideology.
c) Mission: To provide effective Communication, utilization of Communication
Technologies and Ideological Orientation for socio-economic transformation.

1.4 Activities of the organization and its clients


 Sustains, manages and oversees information and communication Technology infrastructure
in the country of Uganda.
 Regulates and quality assures information and communication technology services in
Uganda.
 Negotiates, concludes and implements bilateral and multilateral agreements regarding
information and communication technology in Uganda.
 Supports local ICT innovations and promotes export of knowledge products, implements
data protection and privacy programs and ensures effective communication and National
Guidance.

CHAPTER TWO

MANAGEMENT OF THE INTERNSHIP EXERCISE


2.1 Objectives of the organization or department
The Ministry of Information, Communication Technology and National Guidance operates or
runs on the following Objectives;

 Increasing the National ICT infrastructure.


 Enhancing usage of ICT in the national development and service delivery.
 Promoting ICT research, innovation and commercialization of the indigenous knowledge
products.
 Increasing ICT human resource capital.
 Strengthening cyber security in the country.
 Strengthening the policy, legal and regulatory framework.
 Ensure effective communication and national guidance.

2.2 Activities of the organization and the designation of the person heading it
The MOICT&NG is headed by the cabinet Minister of the Uganda who is known as Hon. Dr.
Chris Baryomunsi. He is a Ugandan physician, public health specialist, demographer and
politician who was appointed as the Minister of the organization in 2021 shortly after the general
elections. He is a hardworking man who has got a lot of responsibilities in office and carries out
these activities together with Hon. Joyce Nabbosa Ssebugwawo, the state minister for ICT, Hon.
Kabbyanga Godfrey Baluku, the state minister for National Guidance and Dr. Aminah Zawedde,
The Permanent Secretary of the Ministry.

 Sustains, manages and oversees information and communication Technology


infrastructure in the country of Uganda.
 Regulates and quality assures information and communication technology services in
Uganda.
 Negotiates, concludes and implements bilateral and multilateral agreements regarding
information and communication technology in Uganda.

 Supports local ICT innovations and promotes export of knowledge products, implements
data protection and privacy programs and ensures effective communication and National
Guidance.

2.3 Description of the responsibilities assigned to the student.


During my internship training, my fellow interns and I were assigned different activities, some of
which we did as a group and others individually. Below are some of the activities that I was able
to complete.

 Task one Research; The supervisor assigned to me a task to research about float
acquisition by the telecom agents. (MTN & AIRTEL) whereby I inquire from different
mobile money agents and I found out that float is through the banks in partnership with a
given tele-com company, for instance, Airtel agents from KCB Bank and MTN agents
from DTB Bank as their financing partners.
 Task two Developing mobile money system; Here I was assigned as the group leader in
the discussions and presentations of the load map for the system and identify the major
entities to be considered which was the Bank, Master agents, Agents and the Service
Centre.
 Task three Fiber Optical cable installation; I was assigned to carry a roll of fiber cable to
the place of installation and also pull the to the right direction around the ministry to
strengthen the access of the Network.
 Task four Termination of cables; By the help of the creeping, cut tool and RJ45, I was
assigned to terminate a cable which I archive with the colour code B.
 Task five PDM system data clean up; Through the registration of email, the supervisor
provided me with access to the PDM system so as to help in correcting wrong spellings,
deleting repeated names of different Sacos/registered groups within the system at the
National ICT innovation hub.
 Task six Mounting of the Aps; With the help of the instructor, I was assigned to plug the
handle on the wall which was to hold the wireless device.
 Task seven Re-assembling switches; I was assigned to re-assemble switches, dismounted
cables and cleaning dirt form the racks under the supervision of the instructor.

 Task eight Designing of interfaces; I was also assigned a task to design interface for the
Mobile Money System (MMS) using different softwares such as Adobe Photoshop,
Mockups, and Figma.

2.4 Naming of the officers that the student worked with and their responsibilities

2.5 Role of the workplace supervisor.


 Effectively train your intern and provide all necessary resources for the position.
 Develop learning objectives and goals with the student (student will provide a form).
 Monitor your intern to ensure they are completing assigned duties and staying busy.
 Evaluate your intern's progress and provide feedback often.
 Ensure student is fully oriented to the agency, staff, policies and procedures.
 Provide resources, equipment, and facilities that support learning objectives/goals.
 Ensure intern work schedule allows for attendance of courses at Penn State.
 Provide necessary training, one hour of weekly supervision and routine feedback on
performance and expectations.
 It’s also the role of the work supervisor to explain, write his comments and stamp on
assessment frame work at the end of the internship exercise in relation to the student’s
punctuality, smartness, regular attendance, interpersonal relations, and ability to judge or
take decisions and among others at the work place.

CHAPTER THREE
PRESENTATION OF THE FINDINGS
3.1 New things (experience) learned at the work place that include
3.1.1 Knowledge
Below are some of the ideas the internee has learnt.
 Time management: It was acquired through the scheduled periods whereby I had to
report at 08:00am and leave at around 05:00pm which I maintained for the whole
internship excise.
 Communication: In that I can now interact with different groups and individuals
confidently, effectively, and efficiently which helped me increase on my communication
skill through conversations and inspirations by the colleagues and the supervisors from
different departments.
 Integration of concepts with theories: I was able to relate and integrate concepts with
theories learnt in lecture while at school to real world professional experience. This
helped me develop and gain more skills, competencies and confidence in whatever I was
engaged in.
 Creativity: It was used to solve different situations, which required wise thinking to
overcome or handle new challenges and also find solutions for the exciting ones, and
used to acquire the designs of the Mobile Money System interfaces

3.1.2 Skills Gained


The following below are the skills I gained for being confident in relation to my carrier
and daily life especially when interacting with the colleagues (interns), my supervisors
and other people around the ministry.
 Time management: I enhanced my punctuality, by reporting in time and being
principled when it comes to the completion of the tasks assigned to me in time.
 Programming skills: Through the mobile money system that we had developed, I came
to know some basic fundamentals of programming.

 Database designing skills: By designing of the ERD & Sequence diagrams, I also
gained a couple of skills like in stating the relationships between the entities and
attributes of our system that we were developing.
 Research methodology skills: I gained the skill of research methodology when we
were carrying out the feasibility study of our mobile money system by researching
about what entities and attributes to include in our system and the research work that
was assigned to me by my supervisor, I managed to enhance the research skills for the
goodness of my career.
 Public service dressing code: Here I came to know that gents are supposed to put on a
long shirt or a T-shirt and a long trouser together with closed shoes and ladies put on
dresses that covers beyond their knees.
 Leadership skills: This was through holding group discussions and presentation.
 Socialization: It was all about interacting with my fellow interns, supervisors and also
some other members I used to meet at the mosque for prayers.
 Confidentiality skills: This was mainly by keeping some crucial information that I had
accessed at the Ministry.
3.1.3 Relevance of the theories learnt in class to the internship exercise

 In the process of under taking my internship training at the ministry, I acquired many
skills that are highly related to the programs that were also taught at the university for
example; Research methodology for Report generation, Programming such as (OOP)
Object Oriented and C, System analysis and Graphics design, project management,
networking, web designing, data and information management, Database programming
among many others.

 And it was the help of the same programs learnt in universities such as System analysis
that we were able to compete the feasibility study of the mobile money system
developed which also helped us to go through the SDLC.
 To mentioned but a few, also applied Research Methods to carry out our research about
the system as well together with Communication skills that helped me in interacting
with other interns in discussions, presentations, the field supervisor and a number of
officials from different departments at the Ministry.

 Furthermore, Database programming as a course unit at campus helped me to come up
with the ERD and Sequence diagrams for the entities of our Mobile Money System that
we were developing at the Ministry which also made me to realize that really what is
being taught at Campus is applicable in outside world.

3.1.4 How the student intends to utilize the skills learnt for professional development
 I am looking forward to boost my resume by the help of the skills learnt.
 I am also aiming at developing my professional connections with the skills that I had
learnt.
 Also due to the skills that I had gained, I am able to prepare for better job stability that
will help improve my standards of living.
 Through the skill of communication, am now able to interact with different individuals
hence making new friends.
 Am also able to expand my transferable skills from what I have gained.
 Best on the skills I have acquired, am also able to apply theoretical knowledge in the real
world.
 Mentioned but a few, am more likely to meet direct job offers.

3.2 Personal contribution to the organization


 I contributed in the installation of fiber optical cables which was aiming at providing
hyper internet at the Ministry.
 Assisted in mounting of APS for re-energizing the Network signals around the Ministry.
 System data clean up at the National ICT innovation hub of the PDM system.
 I also terminated cables of different categories i.e. cat 6 both indoor and outdoor for the
newly installed cameras which helped to strengthen security at the Ministry.
 Re-assembling switches and cleaning the racks along the Ministry.

3.3 Problems identified during the internship


 Transport; I found it very challenging to travel from home to the ministry on a daily basis
with any source of income because at times I could foot for a given distance when I have
no transport money.
 Lack of data; I also identified the problem of accessing the required data because what
was provided is insufficient to what is expected.

 Lack of Access to Observe activities; I found it so difficult to observe most of the
activities that take place in different departments due to some restrictions imposed
 Also, as secrecy of accounting is a must for an institution, the concerned data and
information was not provided when needed.
 Lack of necessary elements and aspects; for instance, the required equipments for
practical sessions were not available hence becoming so difficult.
 Sufficient support; In case of inquiry; because those concerned were always fixed and
could give less attention hence ending up without archiving what is required in its full
support.

CHAPTER FOUR
CONCLUSION AND RECOMMENDATIONS
4.1 Summary of findings
 Effective Support: the organization should provide full support to the enable interns to
benefit and acquire more knowledge in the real world.

 Application of Practical sessions: the organization should also provide more of practical
sessions for the interns to experience physically what is being taught in theories.
 Time schedule: the organization should also schedule time for interns and provide extra
charges to workers for the overtime.
 Facilitation of workers and Interns: workers at the ministry should be facilitated very well
for the better performance of the organization through providing lunch and some small
allowances for motivation.

4.2 Conclusion.
In conclusion, the entire exercise has been successful after solving all challenges faced in the
process of the internship exercise; however, the internee was able to get involved in the activities
done by the organization hence increasing skills and experience.
4.3 Recommendations
4.3.1 To the University.
 The university should provide their contacts and address to the organization in order to
ease communication between the two.
 The institute should be responsible for finding internship places for the students in order
to ease planning and allocation of academic supervisors.
 The institute should send supervisors to supervise students early and also should provide
internees with the contact of their supervisors.
4.3.2 To the organization.
 Motivation to workers should be in terms of allowance due to over time.
 The organization should provide its workers with lunch to enable them carry on office
work systematically.
 The organization should make sure that computer systems in all the departments are well
and working to ease work.
 The organization should derive some means of curbing the problem of time management
by providing departmental cars for the staff.
 To the organization and the internees should keep their religious spirit of being friendly
to one another.
